How do I find total volume on a merchant statement?

Total processing volume is usually shown in a statement summary, processing summary, sales summary, or card activity section. The exact label and calculation vary by provider, so start with the statement's definitions and confirm the reporting period before using any number.

Look for a total tied to processed payment activity for the full statement period. Do not assume that a bank deposit, payout, net amount, or ending balance represents total volume. Those figures may reflect different events or adjustments.

The short answer

Open the statement and identify its start and end dates. Then scan the summary pages for labels such as total sales, payment volume, gross amount, processed amount, or card sales. If the statement separates payment methods, add categories only when the statement's instructions show that they belong in the same total and are not already included in a displayed grand total.

Current provider documentation shows why the label must be interpreted carefully. Square distinguishes gross sales, net sales, total sales, and total payments collected. Use the statement period as your boundary

Before copying a number, verify that the statement covers the month or custom period you intend to analyze. A statement generated for one billing cycle may not match a calendar-month dashboard report. Activity near midnight can also appear in a different period when systems use different time zones or completion dates.

  • Confirm the dates: Record the statement's beginning and ending dates.
  • Confirm the account: Make sure the merchant identifier, business unit, or location matches the activity under review.
  • Confirm the currency: Keep separately reported currencies separate unless the provider supplies an authoritative converted total.
  • Confirm the status: Determine whether the displayed volume includes only completed payments or also other activity types.

Distinguish common totals

Gross payment activity

A gross figure generally represents payment activity before deductions or other balance changes, but the included transaction types depend on the provider's definition. Check whether refunds or reversals appear as separate lines.

Net activity

A net figure reflects a provider-defined calculation after some activity has been subtracted or adjusted. It can be useful for reconciliation, but it should not be relabeled as total processing volume without confirming the definition.

Payouts or deposits

A transfer to a bank account is not automatically the same as processed volume. Timing, grouped activity, withheld items, prior-period adjustments, and other account events can make a payout differ from the period's payment total.

A practical method for finding the number

  1. Start with the summary. Review the first summary page before adding detailed rows manually.
  2. Match the label to its definition. Use the statement legend, help text, or provider documentation to identify what the total includes.
  3. Check for category breakdowns. Determine whether card brands, channels, locations, or payment methods are components of a grand total or separate totals.
  4. Trace one figure to detail. Compare the summary with the related transaction, batch, or activity report for the same period.
  5. Document your choice. Save the statement name, period, field label, and report filters with the number used.

If no clear total appears, download the provider's official activity report for the same dates and use its documented gross or payment total. Avoid estimating volume from bank deposits alone.

Why totals may not match

Two reports can be accurate and still differ because they answer different questions. One may group transactions by payment date, another by batch close, and another by payout date. Refunds, reversals, disputes, incomplete transactions, multiple locations, and time-zone boundaries can also change the scope of a total.

When a comparison does not reconcile, first align the account, date range, time zone, currency, status filters, and transaction types. Then compare a small sample of individual records. This is more reliable than forcing a statement total to match a bank deposit or sales report that uses a different boundary.

Keep the review privacy-safe

Merchant statements and exported reports can contain business identifiers, customer details, and sensitive operational information. Share them only through an approved secure channel and limit access to people who need the records. Do not paste card numbers, bank credentials, passwords, secret API keys, or full unredacted statements into a general contact form.

Keep an unchanged copy of the original statement and note any calculations performed outside the provider dashboard. That creates a repeatable record for later reconciliation without changing the source document.

If the terminology remains unclear, ask the provider to identify the exact field that represents processed payment volume for that statement period.
