Merchant Statement Help
A merchant processing statement is easier to review when you separate sales activity, adjustments, provider charges, and bank deposits. This guide gives finance and operations teams a repeatable way to organize the records and identify questions that need provider confirmation.
Start with the reporting period
Build a clean record set before interpreting totals
Download the statement and the provider's transaction, adjustment, dispute, refund, and payout or transfer reports for the same period. Also collect the matching bank activity. Current Stripe and PayPal documentation confirms that providers offer multiple report types and downloadable statements, but names, date logic, and available fields vary by platform.
Statement map
Sort each amount into a practical category
Payment activity
Identify gross sales, credits, refunds, reversals, and other transaction activity. Confirm whether the report uses transaction date, processing date, or another reporting date.
Adjustments and disputes
Separate disputes, reversals, corrections, reserves, or other adjustments from ordinary sales. Trace each item to a reference shown in the provider portal.
Provider charges
Group charges by the statement's own labels. Do not assume a label's meaning; compare it with the agreement, statement glossary, or provider documentation.
Transfers and deposits
Match payout or transfer records to bank deposits using dates, amounts, and provider references. A deposit may combine activity from more than one processing day.
Reconciliation workflow
Move from source transactions to the bank
Step 1: Preserve source files
- Save the original statement and exports without editing them.
- Record the account, location, currency, and reporting period.
- Note the time zone and date basis used by each report.
- Restrict access to staff who need the financial records.
Step 2: Summarize activity
- Total sales, refunds, disputes, adjustments, and provider charges separately.
- Keep pending activity outside settled totals until its status changes.
- Retain provider reference IDs for research.
Step 3: Match transfers
- Compare each provider payout or transfer with the bank deposit.
- Allow for weekends, holidays, cutoffs, and provider-specific timing without assuming the cause of a delay.
- Document combined deposits and split transfers.
Step 4: Resolve exceptions
- List unmatched items, duplicate-looking entries, and unexplained labels.
- Check the provider portal before changing bookkeeping records.
- Escalate unresolved items through a verified support channel.
Review worksheet
Use one exception log for focused follow-up
Record the reference
Capture the provider's transaction, adjustment, dispute, or transfer reference and the relevant date. Avoid copying full card numbers or security codes.
State the expected result
Write what you expected to see and why, based on the account report or documented workflow.
Describe the variance
Record the actual amount, status, or date and the exact statement label. Keep facts separate from assumptions.
Track resolution
Log the support case, response, accounting action, owner, and completion date so the same exception is not researched repeatedly.
Support preparation
Ask precise questions without exposing sensitive data

Common questions
Merchant statement review FAQ
Why does a bank deposit differ from one day's sales?
A transfer may reflect provider cutoffs, refunds, adjustments, disputes, pending activity, or multiple processing days. Use the provider's transfer detail to identify the included entries.
Which date should I use?
Keep transaction, processing, transfer, and bank-posting dates in separate fields. Use the date basis required by your accounting policy and confirm provider report definitions.
Can statement labels be compared across providers?
Only with care. Similar labels can have different definitions or calculations. Compare the current documentation and account agreement before treating categories as equivalent.
What should I send to support?
Send the reporting period, exact label, sanitized references, relevant dates, expected result, and reports checked. Use a secure provider-approved channel for any sensitive documents.
