How Do I Reverse a Duplicate Charge?
First confirm that two completed payments exist for the same purchase. A pending authorization can resemble a second charge without being a completed sale. When duplication is verified, use the payment provider's supported void, cancellation, or linked refund action for the duplicate record.
Confirm before correcting
Match both entries to the same purchase
Compare the transaction references, timestamps, amounts, payment method references, receipts, order number, register, and operator. Confirm whether each entry is approved, pending, canceled, voided, refunded, or completed. Do not issue a second correction because a customer sees two lines on a banking app.
Two completed payments
If both records represent the same purchase and both completed, select the duplicate transaction and follow the provider's supported refund workflow.
One completed, one pending
The pending entry may be an authorization hold rather than a second completed charge. Preserve the details and follow provider guidance before taking action.
Two legitimate purchases
If the entries represent separate goods or services, retain receipts and order records that clearly connect each payment to its purchase.
Safe decision path
Correct the duplicate without creating another mismatch
1. Locate both records
Search the provider dashboard or POS transaction history using the receipt, amount, time, and approved card reference. Never ask a customer to send a full card number through a general form or email.
2. Identify the duplicate
Connect the valid payment to the order and verify which second record lacks a separate purchase. Check whether another employee has already started a correction.
3. Use the linked action
Choose the void, cancellation, or refund action shown for that exact transaction. Available actions and transaction states vary by provider, so follow its current instructions.
4. Save the correction record
Record the original and duplicate references, correction reference, amount, reason, operator, date, and customer communication for reconciliation.

Check that the selected action fits the transaction state
Open or incomplete
A cancel or void action may be available before completion. Read the confirmation screen and verify the resulting status.
Completed
A completed duplicate generally requires a refund or return-of-funds action tied to that payment. Confirm the amount and destination before submitting.
Already corrected
If a void or refund is pending or completed, do not repeat it. Save the existing reference and explain the recorded status accurately to the customer.

Can I refund the customer another way?

What if the customer already filed a dispute?
