Separate the transaction, batch, transfer, and deposit
An approved sale is a transaction record. A batch groups payment activity for closeout or settlement. A provider transfer can combine settled activity and adjustments. The bank deposit is the amount posted by the receiving financial institution. These records may be related without sharing the same date or total.
Batch status
Check whether the batch is open, closed, submitted, settled, or affected by an exception. Do not assume that a printed report proves funds reached the bank.
Transfer detail
Use the provider dashboard to identify which transactions, refunds, disputes, reserves, or adjustments belong to a transfer.
Bank activity
Match the provider transfer identifier, amount, and effective date to the receiving account rather than relying only on the sales date.

Use a repeatable reconciliation sequence
Start with source transactions
- Confirm approved, voided, refunded, pending, and offline items.
- Review tips, open checks, and transactions awaiting completion.
- Record the business date, terminal, location, and batch identifier.
Finish with the bank
- Open the provider transfer or payout detail.
- Identify fees or adjustments shown by that provider.
- Match the resulting amount to the bank posting and preserve the report.
Common exceptions
Investigate timing and total differences without guessing
Weekends, bank holidays, close-of-day settings, open tips, offline transactions, refunds, disputes, reserves, account changes, and provider reviews can affect grouping or timing. A mismatch does not identify the cause by itself. Compare reports for the same transaction set and contact the organization that controls the missing stage.

Does a closed batch guarantee a deposit?
No. Closeout can be one step before settlement, transfer creation, and bank posting. Verify each stage through the responsible system.
Why can a deposit differ from gross sales?
The transfer may include refunds, disputes, fees, reserves, prior-period adjustments, or a different cutoff. Use the provider's transfer detail to explain the composition.
Should I rerun a missing transaction?
Confirm its recorded status first. Repeating a completed payment can create a duplicate charge.
What should I send support?
Provide dates, sanitized transaction references, batch and transfer identifiers, amounts, and screenshots without full card data, passwords, or bank credentials.
