Why Is a Receipt Printer Not Printing?

A receipt printer can stop at the hardware, connection, operating-system, or point-of-sale layer. Start with the printer's visible status, then isolate each layer using the instructions for the exact model and POS setup.

First checks

Read the printer before changing settings

Note what happened, which register was affected, and whether the problem applies to every receipt or only one transaction. Check the power, error, paper, and connection indicators against the model's official manual. Different light patterns can identify an open cover, empty roll, jam, overheating condition, or communication problem.

Preserve transaction records: a missing paper receipt does not mean the payment failed. Confirm the sale in the POS or provider transaction view before running the customer's card again.

Check the approved power supply, cable seating, outlet, and power indicator. Do not substitute an unapproved adapter. If the printer repeatedly loses power, stop and use the manufacturer's support path.

Load the correct paper

Confirm the roll type, width, orientation, and remaining supply for the exact printer. Thermal paper prints on a coated side; loading it backward can produce a blank receipt even when the mechanism feeds normally.

Close the cover fully

Remove loose scraps and reseat the roll without forcing the mechanism. Many receipt printers will not print when a cover sensor reports that the cover is open.

Clear jams safely

Turn off the printer when the manual instructs you to do so, allow a thermal head to cool, and follow the documented jam procedure. Do not use sharp objects or force a cutter or cover.

Determine whether the printer can print by itself

Many receipt printers provide a model-specific self-test or status print. Follow the official manual rather than guessing at a button sequence. A successful self-test usually shows that basic power, paper feed, and print hardware are working, which shifts attention toward the cable, network, driver, print queue, POS configuration, or application.

If the self-test does not print

  • Match the status lights or displayed code to the manual
  • Recheck the paper, cover, jam, and approved power supply
  • Let an overheated thermal head cool if the manual identifies that state
  • Record the model, serial number, lights, and error code for support

If the self-test prints

  • Check that the POS is sending receipts to the intended printer
  • Inspect the approved USB, Ethernet, Wi-Fi, or Bluetooth connection
  • Review the operating-system queue for paused or stalled jobs
  • Confirm the correct driver, port, paper width, and POS printer profile

Ethernet or Wi-Fi

Check the printer's connection indicator and status page, then compare its current network address with the address configured in the POS. Network changes can leave the POS pointing to an old address.

Bluetooth

Confirm the printer is powered, paired to the intended register, and not connected to another device. Use the vendor's pairing procedure before removing and rebuilding a known configuration.

Print queue or POS

Look for paused, offline, failed, or duplicate jobs. Confirm the correct receipt printer is selected for the affected order type, register, and station before clearing a queue.

Paper feeds but the receipt is blank

Verify that the printer uses thermal paper and that the coated side faces the print head. Use only the documented cleaning procedure after the head cools. Impact printers use different paper and ribbon components, so identify the printer type first.

Nothing happens from one register

Compare that register's printer selection, connection, and queue with a working station. If the printer's self-test works, the fault is more likely upstream of the print mechanism.

Every printer stopped

Check whether the POS application, local network, print service, or shared configuration is unavailable. Avoid resetting every printer when the same upstream dependency affects multiple devices.

Printing stops intermittently

Record the status lights, timing, workload, connection state, and whether the unit feels unusually hot. Manufacturer documentation may identify cooling behavior, communication interruptions, or service conditions.

Document enough detail to reproduce the fault

Provide the receipt printer make and model, connection type, affected register or station, exact indicator pattern or error, time of failure, whether a self-test printed, whether other printers work, and the troubleshooting already completed. Include software and firmware versions only when they are safely available.

Keep the report privacy-safe: do not send full card numbers, security codes, PINs, passwords, bank credentials, secret API keys, or unredacted customer receipts through a general support form.
